Nomination, application procedure, documentation and deadlines
This information is relevant to students wishing to do an exchange programme at the UVic Campus of the University of Vic - Central University of Catalonia (UVic-UCC) and to our partner institutions.
Before coming to UVic
1. Agreement
We only accept students from universities or other institutions with whom we have an inter-institutional agreement.
2. Nomination
Students must be nominated by their university and the university must confirm the nominations to UVic.
Universities should send us an email (incoming@uvic.cat) with the following information of each nominee:
- First name and Surname
- Gender
- Email address
- Exchange period (Autumn, Spring or Full Year) and duration (in months)
- Type of exchange (study or placement)
- Home institution
- Erasmus code (if applicable)
- Studies at home institution
- Studies or Area of studies at UVic (according to our inter-institutional agreement, i.e. Business, Psychology, Education, Engineering, etc.)
Nomination deadlines
- Autumn semester (from September to January) and whole academic year (from September to June): 15 April
- Spring semester (from January to June): 15 October (NOMINATION PERIOD CLOSED!)
3. Application
All the nominated students must fill in the online Application Form (CLOSED!)
Click on the link above and follow the steps given:
a) In order to fill in the form you have to register first (Registration). To complete your registration, you will receive an email with a link to activate your account and define your password. The password should contain at least 8 characters (letters, numbers and at least one special character - i.e. ?*$!).
b) Once the account has been activated successfully, you can Log In using the same Email and password.
Once we open each period of applications, we inform all our university partners and nominated students by email with details of how to submit the online application form and deadlines.
Application deadlines
- Autumn semester (from September to January) and whole academic year (from September to June): 25 April
- Spring semester (from January to June): 30 October
Note: Seat Assignment Policy of the Faculty of Business and Communication Studies is “first-come first-served” (due to a restricted number of seats in some of its modules). It is important that students wishing to take courses from studies at the Faculty of Business and Communication submit their application as soon as possible.
4. Period for processing applications
A decision will be sent to each student regarding the application from the International Relations Office via email (and by post when requested):
- Autumn semester and whole academic year applications: late May
- Spring semester applications: late November
5. General information
Once the acceptance period has been closed, the International Relations Office will contact all the accepted students to welcome them to UVic and give them further advice for their stay with us:
- Autumn semester and whole academic year: early June
- Spring semester: early/mid-December
6. Access to the UVic Virtual Campus
DO NOT create a UVic Virtual Campus account! We will create it for you.
All accepted students will be notified via email of their login credentials for the UVic Virtual Campus (the username and a link to activate their own password).
The Virtual Campus is an intranet with academic, administrative and other information for the university community and includes tools for communication, such as email, and learning, browsing and dynamic content: general university information and details of specific courses, communication of general interest, virtual classrooms (Moodle), your academic record, etc.
7. Academic documentation and information
For information on the required academic documentation and other academic details (i.e. learning agreement, proposed study plan, internship details, calendar, registration, courses, timetables, etc.) the student should contact the Internationalisation Unit (international academic coordinator) at the UVic faculty they will be based in.
8. Insurance
Based on our expertise in welcoming foreign students, we strongly recommend that before arrival at UVic all our international exchange students take out comprehensive insurance with worldwide cover for every conceivable risk during your exchange stay in Spain.

9. Visa (for Non-EU students)
At UVic-UCC we do not take care of the student’s Visa application process. However, here you have some information that can be of help.
We advise you to check the Entry Requirements to Spain, either on the Ministry for Home Affairs website or the Embassy or Consular Office of Spain in your country.
We recommend you to apply for the student/internship Visa at the Spanish Embassy from your current country of residence.
IMPORTANT: we do advise you against entering Spain with a Tourist Visa, since once in Spain the process to legalise your stay for studies/internship could be long, complicated and it could even mean to hire a private legal service.
When the student arrives at UVic
1. Orientation Days
Before the beginning of each academic semester some Orientation Days will be organised for all the international exchange students.
- Autumn semester: from 4 to 6 September 2024
- Spring semester: from 22 to 24 January 2025
2. Enrolment at UVic-UCC
The process of enrolment will be dealt with by each UVic international academic coordinator (Internationalisation Unit). Once the student has chosen the subjects and handed in all the required academic documents, they will be able to do the online enrolment.

3. Start of the academic semester
- Autumn semester: mid-September*
- Spring semester: late January*
* Starting dates can vary depending on the faculty the student is studying in.

Before leaving UVic
Students should remember that at the end of the academic semester their Learning Agreement and Certificate of Stay must be signed by their UVic international academic coordinator and the International Relations Office, respectively.
Notice that the official Transcript of Records will be sent digitaly from the relevant UVic faculty to the student's home university and by post if required.
